Two ways to put a price on the same work

Beds24 sells components. The base account starts from 15.50 EUR a month and is counted by your actual number of units; the channel manager is an add-on at 0.55 EUR per channel link a month, where one link is one room type connected to one channel; extra users, SMS and a private-label booking page are priced separately too. Their page says you pay only for what you switch on, with no contract and no minimum term.

Roomi PMS sells one thing: the apartment on your account. Everything described on this site, from channel sync to cleaning, TTLock codes, analytics and Telegram alerts, is in every account, and the invoice is the rate of your range times the number of apartments. Five apartments are 57.00 EUR a month, twenty are 171.00 EUR, taxes not included.

Which of the two comes out lower depends on how many channels you connect per unit and how many people need a login, so the honest answer is to run both calculators with your own numbers. Beds24 has one on its pricing page; the worked examples on our pricing page do the same for 1, 5 and 20 apartments.

Configuration and the first evening

Beds24 describes itself as highly customisable and feature packed, with self-onboarding tools, webinars and paid personal onboarding from 79.00 EUR. That depth is the reason many professional managers choose it, and the reason the first week is spent in settings.

Roomi PMS is set up in an evening: add your apartments or upload an Excel file with your bookings, connect the channels, send each cleaner her link. There is no settings manual to read first, because there are fewer settings. If you need rate plans, room categories or a booking website, those are not in Roomi PMS today, and you should know that before you move.

What stays the same after the move

Your listings, reviews and ranking live on Booking.com and Airbnb, not in either system, so they do not move and do not reset. What changes is where the bookings land and who closes the dates on the other channels. Roomi PMS does that from one calendar, and if a channel stops syncing you get a Telegram message instead of a double booking.

How to move from Beds24 to Roomi PMS, step by step

Beds24 is pay as you go, so there is no notice period to plan around. Move channel by channel and keep both systems until the calendars match.

   Export your bookings

   Download your bookings from Beds24 and save the file as .xlsx, one booking per row with the unit, guest, dates and amount.

   Create a Roomi PMS account

   Sign up with your email address, no card. Add the apartments or rooms with their currency.

   Import the file

   Upload the .xlsx: properties are created, bookings are placed and overlapping dates are highlighted for you to resolve.

   Set prices and minimum stays

   Prices and minimum stays by date range are set in Roomi PMS directly; they are not part of a booking export.

   Switch each channel link

   For every room type and channel you paid a link for in Beds24, connect that channel to Roomi PMS and disconnect it from Beds24 in the same sitting. Booking.com allows one connectivity provider per property at a time.

   Bring in cleaners and locks

   Give each cleaner a personal link in her language and connect TTLock so each booking gets its own code.

   Stop topping up

   Beds24 works like a prepaid account; once the last channel is moved and the calendars agree, simply stop topping it up under their terms.
