A double booking is two guests holding the same night in the same apartment. It almost never comes from carelessness. It comes from two calendars that each believe the night is still free, and a gap of a few hours between them.

Why it happens

Booking.com and Airbnb each keep their own calendar. When a guest books on one of them, the other does not know until someone or something tells it. If you connect them with iCal links, that message travels on a schedule: each site fetches the other's calendar every few hours, not the moment a booking lands.

That delay is the whole problem. On a busy weekend, a few hours is enough for a second guest to find the same night on the other site and pay for it.

Three ways to keep calendars in line

  • By hand. You close the dates on the other site yourself every time a booking arrives. It works for one apartment and a patient owner, and fails the first night you are asleep or on a plane.
  • iCal links. Free and available on almost every site. Good enough for quiet periods, risky in high season because of the refresh delay described above.
  • A channel manager. The booking arrives in one system, which then closes the dates on every connected channel itself. This is what hosts with several apartments use, because it takes the delay out of your hands.

A checklist that keeps double bookings away

  • Pick one calendar as the source of truth, and put every booking there first, including direct ones from friends and returning guests.
  • Close dates the moment you take a direct booking. Direct bookings are the ones no channel knows about.
  • Check your links after every change. When you add a new site or recreate a listing, its calendar link changes, and an old link quietly stops working.
  • Watch cancellations. A cancelled booking reopens the dates; make sure it reopens them everywhere, not just where it was cancelled.
  • Be careful with long holds. A request that sits unpaid can hold dates on one site while the other keeps selling them.

When it happens anyway

Talk to the guest who booked second before you do anything else. Offer an equivalent apartment nearby, or a refund with an honest explanation. Cancelling a confirmed booking yourself on a channel can hurt your ranking there and may bring charges, so read that channel's rules before you press the button.
